Position Overview:
The Rehancement Group, (TRG) is seeking an Administrative Assistant to provide reliable organizational and office support for Forest Service project teams and clients. The position will maintain documentation, correspondence, records, schedules, and meeting support while helping geographically dispersed teams stay organized and responsive.
Work Arrangement: Primarily remote. Work location will be established by individual BPA calls and may include USDA facilities, field sites, government offices, contractor facilities, or Fort Collins, Colorado.
Travel: Periodic travel may be required within the United States, including Alaska, Hawaii, and U.S. territories.
Employment Type: Full-time contract support, contingent upon contract award and assigned BPA calls.
Schedule: Generally aligned to government business hours. Some assignments may require support outside normal business days or hours, including Federal holidays.
Security: Employment is contingent upon successful completion of the USDA/Forest Service background investigation and Personal Identity Verification process appropriate to the position and level of access.
Key Responsibilities:
- Prepare, format, edit, route, and maintain correspondence, reports, directives, presentations, spreadsheets, meeting records, and other project documents.
- Manage calendars, meeting invitations, participant lists, virtual meeting logistics, agendas, conference materials, action items, and follow-up communications.
- Organize electronic and hard-copy files using established records-management, naming, version-control, privacy, and retention procedures.
- Provide administrative support for training, briefings, symposiums, public meetings, workshops, travel, and field activities.
- Track deliverables, due dates, approvals, action items, property records, contact lists, and other administrative requirements.
- Support data entry, database queries, document production, mailroom or building-support activities, and front-desk assistance when required by a BPA call, including potential assignments in Fort Collins, Colorado.
- Coordinate routine communications among contractor personnel, Forest Service staff, partner agencies, and external stakeholders.
- Prepare editable documents and assist with Section 508 formatting, quality checks, and final production.
- Protect Privacy Act information, sensitive records, credentials, and government information in accordance with USDA and Forest Service requirements.
- Provide responsive customer service and adapt to changing priorities, schedules, and work locations.
Required Qualifications:
- Bachelor's degree and at least 2 years of relevant experience, or high school diploma or equivalent and at least 6 years of experience in an office setting is required.
- Experience providing administrative or organizational support to teams, managers, or clients.
- Knowledge of office-management methods and procedures for producing and maintaining documentation, correspondence, records, and directives.
- Proficiency with Microsoft Word, Excel, PowerPoint, Outlook, and shared document or collaboration platforms.
- Strong organization, proofreading, communication, records-management, and customer-service skills.
- Ability to manage multiple priorities, protect sensitive information, and work effectively with remote and on-site teams.
Preferred Qualifications:
- Experience supporting a federal agency, government contractor, professional-services team, or geographically dispersed program.
- Experience with SharePoint, electronic records management, virtual meeting platforms, travel coordination, property tracking, or administrative databases.
- Experience preparing Section 508-compliant documents and presentations.
- Experience providing facility, front-desk, mailroom, meeting, or event support.
Security, Access, and Employment Conditions:
- Must be able to successfully complete the Forest Service background investigation appropriate to the position, level of access, and need-to-know.
- Must be able to obtain and maintain required USDA Personal Identity Verification credentials, facility access, and computer or information-system access.
- Must comply with applicable USDA, Forest Service, GSA, NIST, HSPD-12, Privacy Act, information-security, acceptable-use, records-management, and facility requirements.
- Must protect government information and Privacy Act records from unauthorized access, use, or disclosure.
- Must remain eligible for assigned access throughout employment. Ineligibility or loss of required access may prevent performance on the contract.
- Must be available for travel, field support, on-site work, or work outside normal business hours when specified by an individual BPA call.
